The setup fee covers everything needed to go from zero to a live, quality-reviewed workflow. It is charged once, at the start of your pilot — agreed before anything begins.
There is no recurring "platform fee" or hidden configuration charge. The monthly retainer is the full cost of what Cognumi runs for you.

Is there a minimum contract length?
The pilot runs month-to-month — no minimum term. After the pilot, ongoing retainers are typically three months minimum, but the exact terms are confirmed on your strategy call. We want you to continue because the service works, not because of a contract.
What is included in the setup fee?
The one-time setup fee (£350–£500) covers knowledge base build, workflow configuration, response drafting, escalation rules, testing, and a go-live review. Most pilots are live within 5–7 business days of sign-off.
What happens if my enquiry volume changes significantly?
Pricing is based on workflows managed, not per-enquiry volume. If you scale significantly — multiple branches, new channels, or new workflow types — we review and adjust the retainer to reflect what we're running. Downward changes are handled the same way.
Are there per-enquiry charges or usage caps?
No per-enquiry fees. The monthly retainer covers the workflow Cognumi manages — however many enquiries pass through it. Unusually high spikes (e.g. a marketing campaign driving 10x normal volume) are discussed in advance.
Can we pause or cancel the service?
Yes. After the pilot, retainers require reasonable notice (typically 30 days) to wind down workflows cleanly and hand over everything your team needs. We don't make cancellation difficult.
Do we need to commit to a full tier upfront?
No. You start with a pilot — usually the Essentials scope. After the pilot proves value, you choose the ongoing retainer that fits. Most clients naturally grow into Growth once they see the results from a single workflow.
